Privacy Policy for Simple Inventory

Simple Inventory is an inventory, sales and stock-management application for small businesses, published by Simple Software Development, an independent developer based in Gondar, Ethiopia ("we", "us", "our"). This policy explains exactly what the app and its servers hold, who can see it, how long it is kept, and how to have it removed.

If you use Simple Inventory as a member of a business, the administrator of that business also controls the records entered by its staff.

1. What we collect

Your account. Business name, owner name, username, telephone number, email address, role and permissions. Passwords are stored only as a bcrypt hash — we cannot read them.

Your business records. Business address, TIN number, logo, branches and warehouses, products, stock levels, prices, purchases, sales, credit, expenses, accounts, suppliers and reports — everything entered into the app.

Your customers and suppliers. Names, telephone numbers, addresses, balances and transaction histories entered by your staff. You are responsible for having a proper basis to enter other people's details.

Files you choose to send. Product and receipt images, and photographs or voice recordings attached to a support message. These are stored on our server, not only passed through it. Support messages are limited to 10 text messages, 2 voice notes and 2 photographs per business per day.

Notifications. When push notifications are enabled, a Firebase Cloud Messaging device token is stored so we can deliver them.

Technical records. Session and refresh tokens, operation identifiers used to stop a transaction being recorded twice, synchronisation timestamps, and basic server logs needed to run and secure the service.

On your phone. Your business name and username from the last sign-in, authentication tokens, settings, queued offline operations and a cached copy of your business records, so the app works without a connection. Your password is never stored on the device.

2. Permissions the app asks for

The app does not request location, contacts, or access to your call or SMS history. Nothing from your camera, gallery or microphone leaves the phone unless you choose an action that sends it.

3. Why we process it

To create and secure accounts; to provide inventory, sales, credit, accounting, reporting and offline synchronisation; to keep transaction histories accurate and prevent duplicates; to answer support messages; to send the notifications you enable; to investigate misuse; and to keep the service working.

We do not use your information for advertising. The app contains no advertising SDK and no behavioural analytics SDK.

4. Who can see it

Your own staff, according to the permissions you give them.

Us, when operating the service or answering a support request.

Authorised resellers. We work with agents who register businesses on our behalf. An agent can see only the businesses they or their own sub-agents registered, and only limited details: business name, owner name, telephone number, town, plan, whether the account is active, the relevant dates, and the activation records they entered. An agent cannot see your products, sales, stock, customers, suppliers or any other trading data, and cannot see businesses registered by a different agent.

Google Firebase, which processes a device token to deliver push notifications.

Our hosting provider, Contabo GmbH, which operates the server.

Authorities or advisers, where disclosure is genuinely required by law or needed to protect people or the service.

A successor, if the service is ever transferred, under the same protections.

We do not sell your information.

When you tap a telephone number, email address or Telegram link in the app, your phone hands that action to the relevant app, which then operates under its own policy.

5. Where it is stored

Our server and database are hosted by Contabo GmbH in France. If you use Simple Inventory in Ethiopia, your information is transmitted to and stored in France. A cached copy also stays on your own device.

We protect it with encrypted (HTTPS) connections, authenticated access, role-based permissions and hashed passwords. No system can be guaranteed completely secure, so please protect your device and your password — particularly on a shared till.

6. Deleting your account

Staff accounts are created and managed by the administrator of the business, not by the member of staff, so they are removed the same way. Ask your administrator, or use the request page below and we will pass it on. When a staff account is removed, the name, telephone number and email are erased and that person can no longer sign in; the user record itself stays attached to the sales and stock movements they recorded, because removing it would corrupt the business's history.

Administrators can remove their own account from Settings › Account & data. If you are the only administrator you must first appoint another, or delete the whole business.

Delete the whole business — Settings › Account & data › Delete this business. Only an administrator can do this, and they must re-enter their password.

If you cannot sign in, or have uninstalled the app, use https://api.inventory.simplesoftwares.dev/delete-account. That form does not delete anything by itself — it reaches us, and we confirm who you are first, because otherwise anyone could erase a business by typing its name.

What happens, and when

Access stops immediately. All of it is erased 7 days later: the business record, every user, product, sale, stock movement, transfer, customer, supplier, expense, account, report, image and voice note, along with device tokens, sessions and queued operations. The 7-day gap exists so an accidental or unauthorised deletion can still be reversed — contact us within those 7 days and we will cancel it. After that it is permanent and we cannot restore it.

Data cached on your phone is cleared when you sign out or uninstall the app.

What we keep afterwards

Two things, both of which are our own operating records rather than your business data:

7. Your choices

You can ask what we hold about you, ask us to correct it, or ask us to delete it. You can turn push notifications off in the app or in Android settings, and withdraw the camera, photo or microphone permissions at any time in Android settings — the related feature then stops working, but nothing else changes.

To make a request, contact us using the details below. We may ask for information to confirm who you are, so that nobody else can act on your account.

8. Children

Simple Inventory is a tool for running a business and is not intended for children. We do not knowingly collect information from children. If you believe a child has provided information, tell us and we will remove it.

9. Changes

If the app or our practices change, we will update this policy and change the effective date above. Material changes will be highlighted in the app.
